Customer enterprise overview

Saratov NPZ, oil refinery, is a part of TNK-BP (Tyumen oil company – British Petroleum).

Two international production control systems – ecology management (ISO 14001) and quality management (ISO 9001), and the industrial safety system on the recommendation of DuPont firm have been installed at the enterprise. In 2004 implementation of the safety system complying with OHSAS 14001, international standard, was started. The company employs 1,600 people.

Challenges

Building of a single unified information management system plays an exceptional role for the high-tech oil refinery with a complicated infrastructure. Effective management decision-making in many respects depends on avoidance of risks that occur because of fluctuation of paper documents at the enterprise. So as to speed up and optimize key internal processes of document management it was decided to implement DIRECTUM document and interaction management system.

Saratov NPZ project was pilot while selecting electronic document management system for TNK-BP. Therefore, on implementing the system, DIRECTUM company had a task – to demonstrate DIRECTUM system efficiency and effectiveness.

Solution

Implementation was carried out in accordance with the implementation technology developed by DIRECTUM company. Order documents creation as well as approval and signing procedures were brought into compliance and, thus, optimized. Technologies of documents checking and approval in DIRECTUM system have been regulated and optimized in real time conditions.

Achieved results

Employees’ work efficiency upgrading has become obvious at the implementation stage already. Heads of departments acquired a powerful instrument for controlling and correcting their employees’ work. Procedure of document approval by employees from remote departments has been sped up significantly: instead of inevitable and multiple visits to the plant office for the purpose of visaing drafts now they just send tasks for approval in DIRECTUM system. Document examination procedure has been facilitated: now they can just send them attached to tasks, but before that they had to make and send separate exemplifications with messengers to each department concerned. Documents registration, sending of them to performers, operations with memos, etc are effectively conducted now at the enterprise.

Tight integration of DIRECTUM system to 1C (leading Russian accounting system) has become one of the peculiarities of this project. Applications for financing of arbitrary form have been fully converted into electronic form and now they are being approved with help of DIRECTUM system.

DIRECTUM system implementation allowed to speed up and facilitate documents creation and approval procedure and to optimize business processes of the enterprise in compliance with the enterprise policies.
